Visitor Levy Calculator

Visitor Levy for hotels and B&Bs

Hotels, B&Bs and guesthouses tend to have higher booking volumes than a single short-term let, and a detail that doesn't come up for most hosts: bundled breakfast. Here's how both are handled.

Room counts, set once per property

Each property records its room count as part of its profile. This isn't used to calculate the levy itself — the levy is always calculated per reservation, on that reservation's accommodation amount and dates — but it's part of how the property's plan/billing category (hotel/B&B, billed per room) and portfolio view are structured, and it's useful context on the dashboard alongside your booking volume.

Bundled breakfast deductions

If your rate includes breakfast, you can set a property as having bundled breakfast enabled, with a value per guest per night. When a reservation is calculated, that value is deducted from the taxable accommodation base — worked out as the per-guest-per-night value, multiplied by the guest count, multiplied by the number of chargeable nights (after the night cap has already been applied) — and the deduction is capped so it can never exceed the eligible amount itself. It shows up as its own line in the calculation breakdown, so it's clear exactly how much was deducted and why, rather than being folded silently into a lower accommodation figure.

This only applies if you've explicitly turned it on and set a per-guest-per-night value for the property — if it's off, nothing is deducted and the full accommodation amount (after any night cap pro-rating) is taxed as normal.

VAT handling

If a property is VAT-registered, set its default VAT rate once — every reservation calculated against it can then have its VAT-inclusive price backed out to the correct pre-VAT accommodation figure before the levy is applied, since every confirmed scheme so far taxes the pre-VAT amount. Return Readiness flags any VAT-registered property that's missing a default rate before you file, so this doesn't get missed on a busy property.

Built for higher booking volumes

A hotel or B&B typically runs far more reservations per quarter than a single short-term let. Imports handle up to 500 rows per batch calculation (more via the legacy bulk import path), data quality checks flag anomalies like a suspicious nightly rate or an unexplained rate change automatically across the whole set, and Return Readiness summarises exactly what's still outstanding across every booking before you file — rather than requiring you to check each reservation by hand.

Check the workflow with a worked example

Follow three fictional bookings through a collection check, including an eight-night stay and a cancellation. Then test one property from your own portfolio, compare the output with your source records, and measure the time needed to prepare a return.
