Visitor Levy for letting agents and portfolio managers
One owner sends an Airbnb export. Another sends a PMS report and a list of direct bookings. Bring them into the same workspace, check the differences, and prepare each client's figures with their supporting records attached to the work.
Managed clients
Set up a "managed client" for each end client you act on behalf of — a name, a contact email and a reference are enough to get started. Every property can then be attached to a managed client, and every reservation, report and reporting period inherits that scoping. Properties you manage directly for your own organisation (rather than on behalf of a client) simply have no managed client attached, and are kept separate from every client's data too.
Keep each client's figures separate
Choose the client whose return you are preparing. Their scoped dashboard, reporting periods and exports contain their own properties, while your organisation can retain a portfolio overview. Review the selected client and property scope before exporting figures or handing them to an accountant.
Per-client returns and exports
Generate a report or a reporting period scoped to a single managed client, and every figure in it — accommodation revenue, gross levy, estimated net amount due, the reservation-level schedule in the CSV/PDF/XLSX export — reflects that client's properties. Check the client, council and period before handing the figures over.
A portfolio-wide view too
Alongside per-client scoping, the dashboard and scheme-impact summary can also show your whole organisation at once — useful for spotting, for example, every reporting period across every client that's been affected by a scheme rule change since it was last calculated, without opening each client individually.
One portfolio, different council rules
Keep each property's council on its record. Edinburgh returns and preparation for future schemes need different treatment. Council pages show live, confirmed and proposed status; only enabled live schemes calculate a liability.
Check the workflow with a worked example
Follow three fictional bookings through a collection check, including an eight-night stay and a cancellation. Then test one property from your own portfolio, compare the output with your source records, and measure the time needed to prepare a return.
