Visitor Levy Calculator

Privacy policy

Last reviewed: 30 August 2026. This policy describes, as specifically as we can, what data Visitor Levy Calculator collects and why. For the technical detail behind these claims, see our Security & Privacy architecture page.

1. Who we are

Omni Digital Solutions Ltd operates Visitor Levy Calculator (https://visitorlevycalculator.co.uk). We are an independent commercial product, not a council or government service — see About.

Registered office: 128 City Road, London, EC1V 2NX, United Kingdom. Company number: 17416236.

For any privacy question or request, contact privacy@visitorlevycalculator.co.uk.

2. What we collect

We collect only what's needed to run the calculator and return-preparation product:

  • Account details — the name and email address you register with, and your password (stored hashed, never in plain text).
  • Organisation data — your organisation's name, default currency, plan/billing category, and the properties you register (name, address, accommodation type, room/bed/unit counts, VAT settings).
  • Sanitised booking data — check-in/check-out dates, accommodation amount, currency, guest count (a number only), and related figures needed to calculate the levy. This is the only booking-level data our systems ever receive, whether entered manually, imported from a spreadsheet, or run through the free calculator.
  • Billing data — handled by Stripe. We only ever see the subscription status Stripe reports back (active, cancelled, quantity, and similar) — never card numbers.
  • Usage/analytics data — only if you explicitly accept optional cookies via our cookie banner. See our Cookie policy for detail.

3. What we never collect

We never collect guest-identifying data of any kind — no guest name, email address, phone number, or postal address. This isn't a policy choice we could reverse: there is no field for any of this anywhere in our system's data model, on a booking, in a spreadsheet import, or in the free calculator. Any such column present in a file you import is read only far enough to be ignored — it is never transmitted to our servers or stored. This is a structural, architectural guarantee, described in full on the Security & Privacy page.

4. How we use your data

  • To calculate the Visitor Levy for your bookings and prepare your quarterly return figures.
  • To operate your account, organisation and billing.
  • To send transactional emails — password resets, email verification, and product notifications you'd reasonably expect (e.g. a report is ready, a review was requested).
  • To respond to support requests sent to support@visitorlevycalculator.co.uk.
  • To understand product usage in aggregate, only if you've accepted optional analytics cookies.

We do not sell your data, and we do not use it to train any third-party model beyond the ordinary operation of the services listed above.

5. Who we share data with

  • Stripe — payment processing. Stripe receives your card and billing details directly; we never handle or store card numbers ourselves.
  • Hetzner — our cloud hosting provider, which runs the application and database.
  • Google Analytics (GA4) — only if you accept optional analytics cookies. See our Cookie policy.

We do not share data with any local authority, council, or the Scottish Government — see §3 of our Terms of Service and the How it works page for why: this product prepares levy figures, it does not file returns anywhere.

6. Data retention

We retain organisation and booking data for as long as your account is active, and for a reasonable period afterwards to satisfy accounting and audit-trail obligations. If you close your account, contact privacy@visitorlevycalculator.co.uk and we'll walk you through deletion of your organisation's data.

7. Your rights

Depending on your jurisdiction, you may have rights to access, correct, export or delete the personal data we hold about you, and to object to or restrict certain processing. To exercise any of these, email privacy@visitorlevycalculator.co.uk.

8. Changes to this policy

If we make a material change to this policy, we'll update the “Last reviewed” date above and, where appropriate, notify account holders by email.
