Free visitor levy spreadsheet template
Start with the fields you need to review your bookings. Download without an account, keep your original exports, and prepare one property’s records at a time.
Choose your file
The example files contain three fictional bookings. Remove them before using the workbook for your business. These are input records, not an official council submission form or a spreadsheet tax calculator.
What to put in each row
- One reservation, with check-in and check-out in YYYY-MM-DD format.
- Booking date and the guest’s first payment date. A platform payout date is a different event.
- Accommodation amount in GBP, excluding VAT and separately listed extras. The simple template assumes no separate cleaning fee; map that fee and its classification from your original export when relevant.
- Reservation status and the visitor levy actually reported as collected. Leave collection blank when unknown; zero means you have confirmed no levy was collected.
- A reservation reference for local matching. Do not add guest names, emails, addresses or telephone numbers.
Use it with your account
- Create a property and check its council and VAT settings.
- Open Imports, choose Other / generic CSV, and select the file. Excel uses the first worksheet.
- Confirm column mappings and select Visitor levy as the collection comparison column.
- Review every warning before saving. Keep refunds, booking amendments and stays crossing a quarter boundary available for manual review.
Keep evidence alongside your working file
Retain the original booking and tax exports, any reconciliation notes, and the receipt for the return you actually submit. The template helps organise source records; it does not confirm payment to a council.
